Summary This position is located at the VA Medical Center in Hampton, VA. The Program Support Assistant performs various administrative and clerical duties in support of the Geriatrics and Extended Care Service. Responsibilities Major duties include but are not limited to: Serves as a point of contact on behalf of the Home-Based Primary Care Section (HBPC) and works closely with management and staff. Assists management by participating in clinical/operational projects for improvement to meet program goals. Works collaboratively with the HBPC Coordinator and will report directly to the Chief of Geriatrics and Extended Care. Performs clerical, administrative, and technical program support work within the HBPC program. Schedules meetings, transcribes minutes, gathers reports, and tracks actions for committees. Collects, complies, researches, and tracks data. Types a variety of documents into final form, ensuring correct grammar, spelling, punctuation, format and style. Provides guidance and assistance to staff regarding VA software programs including but not limited to GovTA, TMS and yourIT. Assists with admission paperwork and tracking including data input into VISTA, communication with Patient Centered Management Module (PCMM) coordinators as needed to ensure assignment of Veterans to appropriate HBPC Provider. Assists with discharge paperwork to be inputted into various systems, including into VISTA, communication with PCMM Coordinator and/or decedent affairs. Performs basic data analysis to generate reports. Prepares correspondence and a variety of other documents. Handles conflict and problems in dealing with customers, constructively and appropriately. Performs telephone and face-to-face receptionist duties. Performs related duties as required. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/24/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative and technical support for the management of various programs; maintaining databases and utilizing various software programs; scheduling appointments and typing a variety of correspondence. This experience must be detailed in your resume to receive credit.. You will be rated on the following Competencies for this position: Clerical Communications Computer Skills Manages and Organizes Information Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Preferred Experience: Administrative Skills. Physical Requirements: The work is mostly sedentary; however, may require obtaining supplies from facility offices as required. The employee sits comfortably to do the work assignments. At times, there may be some walking, standing, bending, carrying of light items, e.g., papers, books, files, etc. No special physical demands are required to perform the work. Additional Information Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
