Job Summary

Summary:

The Associate Coordinator of Events & Hospitality at our Professional Sports Training Facility plays a pivotal role in organizing and managing all aspects of events and hospitality to ensure an exceptional experience for athletes, staff, and visitors. This position is integral in facilitating smooth operations during training sessions, competitions, and special events, while also enhancing the facility’s reputation for world-class hospitality and professional excellence.

Description

Duties and Responsibilities:

  • Event Planning and Coordination

  • Assist in the planning and execution of all facility events, including seminars, workshops, competitions, and sponsor-related activities.

  • Coordinate logistics such as scheduling, venue setup, technology needs, and compliance with health and safety regulations.

  • Work closely with vendors and suppliers to secure event necessities such as catering, equipment, and decor.

  • Hospitality Management

  • Ensure the highest standards of hospitality are met, including the arrangement of accommodations, transportation, and dining experiences for guests.

  • Manage reception areas and guest services to provide a welcoming environment for all visitors.

  • Oversee the creation and distribution of welcome packages and informational materials to guests.

  • Communication and Collaboration

  • Serve as a liaison between athletes, coaches, facility staff, and external partners to communicate event details and gather necessary information.

  • Collaborate with marketing and public relations teams to promote events and manage guest lists, invitations, and RSVPs.

  • Address and resolve any issues or concerns that arise before, during, or after events to ensure participant satisfaction.

Description

  • Budget and Resource Management

  • Assist in preparing and adhering to budgets for events and hospitality-related activities.

  • Track expenditures and provide financial reports to management.

  • Ensure efficient use of resources and identify opportunities for cost savings.

  • Quality Control and Evaluation

  • Conduct post-event evaluations to gather feedback and assess the success of events and hospitality services.

  • Implement improvements based on feedback and changing needs of the facility.

  • Monitor trends in event management and hospitality to keep facility practices up-to-date and competitive.

  • Staff Coordination

  • Coordinate and schedule staff and volunteers for event support.

  • Provide training and guidance to new hires and part-time staff on facility standards and procedures.

  • Safety and Compliance

  • Ensure all events comply with legal, professional, and ethical standards.

  • Maintain knowledge of health and safety protocols to guarantee a safe environment for all events.
