Hanes Supply Inc. Government Contract Specialist in Buffalo, New York

Position Summary: Maintain government contracts related to slings, rigging, and material handling equipment through various systems and platforms. Uses leads to gain additional sales with service through phone and email interactions in a fast-paced environment.Essential Duties and Responsibilities:- Bid Preparation and Strategy:o Research and identify relevant government solicitations on platforms such as DIBBS and SAM.gov.o Collaborate with our sales team, IT team and owner to develop bid strategies and acceptable price boundaries.o Prepare comprehensive and competitive bids that align with government specifications.- Platform Proficiency:o Develop an excellent working knowledge of our ERP system and the various tools for order & quote management.o Utilize SAM.gov to search for opportunities.o Access DIBBS (DLA Internet Bid Board System) to view Requests for Quotes (RFQs) related to slings, rigging, and material handling.o Work within PIEE (Procurement Integrated Enterprise Environment) to manage contract actions, track deliveries, and communicate with contracting officers.o Familiarize yourself with Odyssey, the electronic contract management system.- Technical Understanding:o Develop a deep understanding of slings, rigging hardware, lifting equipment, and material handling products.o Collaborate with our vendors and technical experts to ensure accuracy and compliance.o Pull drawings from government websites when necessary to review specs for proper sling quoting and assembly.o Comply with security and cybersecurity requirements for document control procedures.- Contract Compliance and Documentation:o Ensure compliance with federal acquisition regulations (FAR) and agency-specific guidelines.o Review contract terms, clauses, and performance requirements.o Complete government applications, like SAR forms to qualify Hanes as a supplier of material.o Maintain accurate records of all bidding activities.- Relationship Building:o Cultivate relationships with government agencies, prime contractors, and subcontractors.o Use company data and reporting to contact previous, current, and new customer accounts or leads to gain business and sales.o Participates in continuous improvement processes in a team environment.- Warehouse:o Review packaging requirements and work with warehouse teams to ensure compliance, printing labels and shipping appropriately.o Ability to pick, pack, and ship is mandatory if/when warehouse is short-staffed.o Observes all safety procedures, rules and regulations, and instruction in performance of job duties.- Customer Service/ Sales:o Provides superior customer service for existing and new customer accounts; handles customer questions, quotes, complaints and concerns in a timely fashion.o Receives phone calls and emails from customers to discuss product requirements and offer solutions.o Processes quotes and orders while relaying pricing and delivery information to customers in a professional manner.o Requires constant inter-department communication to assure customer satisfaction for the completion of an order from start to finish.o Contacts customers to determine acceptable delivery dates and updates the work order to reflect the promised date.Knowledge, Skills and Abilities:- Must be able to actively listen and communicate to customers’ needs in order to help them purchase the right product.- Comfortable with data entry, online platforms, and use of multiple computer systems is mandatory.- Sales experience preferred.- Being organized, self-managed, motivated, and eager is necessary.Level of Education and Experience:- Minimum of 6 months’ experience working in customer service or a sales environment is highly preferred.- Bachelor’s degree in Business, Engineering, or a related field.- Certified Federal Contracts Manager (CFCM) or equivalent certification preferred.- Experience in government contracting, specifically related to construction, industrial equipment, or material handling.- Proficiency in using SAM.gov, DIBBS, PIEE, and Odyssey.- Strong analytical skills, attention to detail, and ability to meet deadlines.- Excellent communication and negotiation abilities.- Understanding of government procurement processes and compliance.Physical Demands:The physical demands described below are representative of those that must be met by an employee to successfully perform the essential duties and responsibilities of this job.Frequency- Constant: standing, walking, lifting <25 lbs., seeing, hearing, typing, and talking.- Frequent: lifting 25 to 50 lbs., carrying 25 to 50 lbs., pushing and pulling, climbing stairs and ladders, bending and twisting at the waist, kneeling, squatting and crouching, reaching above shoulder, handling and grasping, and fine finger manipulation.- Occasional: lifting>50 lbs., working at heights, and repetitive hand and arm movement.Working Conditions:The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.- Works both inside and outside in heat and cold- Involves some exposure to hazards or physical risks which require following basic safety precautions.
