SUNY System Administration Administrative Assistant - Office of General Counsel in Albany, New York

The State University of New York System Administration, located in Albany, New York invites applications for the position of Administrative Assistant. As a member of the Office of the General Counsel, the Administrative Assistant will be responsible for proactively providing administrative support and related services for the Senior Vice Chancellor for Legal Affairs and OGC leadership. This position requires discretion and the handling of highly confidential information. Responsibilities include:Assists in maintaining OGC leadership schedules including planning and scheduling meetings, conferences, teleconferences, events; manages virtual meeting accounts (Zoom, WebEx, Microsoft Teams, etc.); and arranges meeting rooms as required.Coordinates travel and special events for OGC as assigned; and reconciles associated expense reports.Acts as first point of contact for meeting and greeting clients.Initiates contact with senior executives and clients for exchange of information.Answer calls made to the OGC and handles routine and non-routine questions; and collaborates with other Assistants within the OGC to ensure consistent phone coverage during business hours.Prepares and proof-reads written and/or printed materials, including letters, memoranda, formal presentations, reports, and mailings, for clarity, typographical errors, and grammarEnhances the OGC's effectiveness by providing information management support, briefing the Senior Vice Chancellor and OGC leadership on upcoming meetings and collating relevant briefing documents.Creates and maintains various database and spreadsheet files as requested by OGC leadership or departmental policy.Oversees supplies and office equipment; and updates information on the OGC website.Assists with routine HR matters such as onboarding and offboarding staff and interns.Establishes, develops, maintains and updates filing system.Opens, sorts, and distributes incoming mail; collects and forwards outgoing mail and inter-office memoranda; and responds to routine correspondence within established guidelines.Performing other duties as assigned.

Minimum Salary: 52,000 Maximum Salary: 58,000 Salary Unit: Yearly
